Original listing · kept for referenceWe’re looking for a Participant Recruitment Lead to take full ownership of participant enrollment at our clinical site. This is a hands-on, execution-focused role responsible for managing the recruitment pipeline end-to-end and consistently meeting enrollment targets.
In this position you will:
• Own participant recruitment end-to-end and pipeline, manage the full Participant Journey
• Serve as the primary point of contact for participants throughout the study, ensuring a positive experience and high completion rates
• Support study execution by coordinating participant activities, follow-ups, and ongoing engagement throughout the research process
• Execute the recruitment and participant marketing strategy defined at the company level, translating it into day-to-day operations on the ground
• Maintain ongoing relationships with clinical partners at the site level, ensuring alignment and a steady flow of participants.
• Screen and qualify participants based on study criteria, ensuring eligibility, compliance, and fit
• Coordinate scheduling and lab capacity to ensure efficient and smooth site operations
• Own participant attendance and show rates confirmations, reminders, and proactive follow-ups to reduce no-shows
• Ensure a sensitive, professional, and compliant participant experience when working with both clinical (mental health) and healthy populations
• Operate and maintain CRM systems and workflows, ensuring high data accuracy and visibility
• Track and manage recruitment KPIs, driving continuous improvement in conversion and efficiency
• Lead and manage a small team of clinical coordinators, including day-to-day oversight and performance tracking
What we’re looking for:
• 3–5+ years of experience in participant recruitment, clinical operations, or other high-touch, pipeline-driven roles
• Proven experience working with patients or participants in clinical, mental health, or other sensitive environments
• Experience working with clinical partners and/or external stakeholders
• Strong execution and ownership mindset, with the ability to drive participant follow-through and deliver against targets end-to-end
• Experience managing end-to-end pipelines, including scheduling, coordination, and attendance management
• Comfortable working with KPIs and funnel performance, with a track record of improving conversion and show rates
• Highly organized and detail-oriented, able to manage multiple workflows, stakeholders, and timelines simultaneously
• Strong communication and interpersonal skills, with the ability to build trust and engage participants effectively
• Experience managing or mentoring small teams – an advantage
• Familiarity with participant marketing or lead generation – an advantage
• Comfortable working in a fast-paced environment and building and refining processes in real time
