Ensure effective project control and accurate documentation management to support planning, tracking, compliance, and successful project delivery.

Main Responsibilities
Key accountabilities:
PMO
• Supporting the PMO Manager with coordinating the Weekly and Monthly Presentations and Reports
• Supporting the PMO Manager with accurate reporting – internal and external Production of MOMs as an outcome of your meetings
• Collecting and organizing all the evidence for invoicing the payment milestones
• Supporting with the Workshops with all the interfaces in the project
• Coordinate meetings and manage governance issues across subsystems, partners, and customers
• Preparation of necessary KPI / Dashboard in coordination with the project team
• Support PMO Manager in allocated tasks
Doc Control
• Actively contribute to achieve all the documentation milestones on or before the scheduled deadlines.
• Ensure timely collection and distribution of all project documentation.
• Maintain up-to-date documentation records and ensure accessibility for all stakeholders.
• Ensure compliance with customer documentation management tool and follow Customer documentation status,
• Automate documentation workflows where possible to increase efficiency.
• Maintain, Manage and update the DML (Documentation Management List)
• Apply the rules defined in the Documentation Management Plan (DMP)
• Control documentation formal homogeneity: template, reference, version,
• Assigs reference, make sure internal validation of Project documents is done before submission to Customer,
• Prepare documents submission to Customer/Partners,
• Provide documentation reporting and indicators according to PMO Manager’s requests.
Performance measurements:
• On-Time Delivery & Reporting -Timely and accurate project schedules, milestones, and status reports
• Document Control Excellence - All project documents are properly managed, up-to-date, and compliant with procedures
• Data Accuracy & Consistency - High accuracy and alignment across project plans, trackers, and reporting systems
• Proactive Support & Coordination - Effective support to stakeholders, with proactive identification of gaps and follow-ups
Main Required Competences
Educational Requirements
Mandatory:
Industrial Engineering & Management /
Other engineering fields (Systems, Mechanical, Civil, etc.)
Alternatively: Bachelor’s degree + proven PMO experience
Desirable:
PMO / Project Management courses
Courses in Document Control / Configuration Management
Experience
Mandatory:
• Advanced Excel (Pivot tables, formulas, reporting)
• PowerPoint (status presentations)
• Hands-on experience in project document control
• Engineering environment awareness
Desirable:
• Primavera
• Knowledge of Document management systems (SharePoint, Aconex, EDMS, etc.)
• Knowledgeable of railway domain
Competencies & Skills
• Fluent in English
• Good knowledge of Microsoft Office suite
• A hands-on personality, not just theoretical knowledge
• Very high level of organization and structure
• Strong attention to detail
• Ability to work with multiple interfaces (engineering, QA, procurement, etc.)
• Assertiveness with good interpersonal skills
• Strong reporting and status tracking capabilities
