    The Executive Assistant will serve as the CEO's operational right hand, responsible for managing the calendar and day-to-day schedule, coordinating with clients and partners abroad, running the office and handling the company's administrative functions, including the interface with an external accounting firm. As this is a small company rather than a large organization, the role is broad, practical, and hands-on, spanning a wide range of areas. The position requires working in a dynamic environment, sensitivity in handling confidential information, and a high level of English.

    Responsibilities

    Calendar and Schedule Management • Managing the CEO's calendar and scheduling internal and external meetings

    • Coordinating meetings with clients and partners abroad, taking time differences and time zones into account

    • Organizing international business travel — flights, hotels, and related logistics

    Working with Clients • Working with both Israeli and international clients

    • Ongoing communication in English with clients and partners abroad, both written and verbal

    • Coordinating conference calls, demos, and meetings with parties abroad

    • Providing logistical support for client visits and delegations in Israel

    • Working with clients across a range of sectors and relaying relevant information for coordination with the internal team

    Office Management • Responsibility for the day-to-day running of the office

    • Managing relationships with office suppliers and handling faults and maintenance

    • Working with various vendors — engagement, obtaining quotes, and ongoing relationship management

    • Handling procurement: placing orders, comparing prices, and tracking deliveries

    • Organizing and producing company events and employee welfare activities

    Payroll and Accounting • Consolidating and submitting payroll data to the external accounting firm

    • Tracking invoices, supplier payments, and payment deadlines

    • Ongoing coordination with the accountant / external accounting firm

    Employee Schedule Management • Tracking employee attendance, vacation, and sick days

    • Coordinating schedules and updating attendance systems

    General Management Support • Preparing presentations, reports, and meeting summaries

    • Managing filing and documents while strictly maintaining confidentiality and information sensitivity

    Requirements • 5+ years' experience as an Executive Assistant or assistant to senior management — significant advantage for experience in a high-tech / cyber company

    • Native-level / high business-level English — spoken and written

    • Proven experience working with international clients or partners

    • Full command of Office tools (Outlook, Excel, PowerPoint)

    • Familiarity with AI tools and the ability to leverage them to streamline day-to-day work

    • Basic familiarity with payroll and accounting processes

    • Ability to manage multiple tasks in a dynamic, high-pressure environment

    • High level of discretion and reliability

    • Strong communication skills in Hebrew and English, both written and verbal

    • Professional presence, excellent interpersonal skills, initiative, and independence at work

    Terms of Employment • Full-time position

    • Availability beyond standard working hours as needed, to coordinate with clients in different time zones
