The Role
You’ll play a central role in making BrightKaire work seamlessly for patients and healthcare providers every day.
This is a broad, hands-on role with ownership across the full patient journey — from the moment an order is placed through testing, logistics, support, and delivery of results. You’ll manage the patient pipeline in HubSpot, communicate directly with patients and providers, coordinate orders and logistics, and make sure every case keeps moving forward.
Beyond the day-to-day operation, you’ll help us improve how we work: identifying gaps, building better processes and automations, and creating an experience that can scale as the company grows. You’ll also have the opportunity to take on additional responsibilities across clinical trial operations and other cross-functional projects.
This is a role with significant room to grow. As BrightKaire expands, the scope of the position can evolve with it — offering the opportunity to take ownership of new areas, build processes from the ground up, and grow into a broader role within the company.
What You’ll Do
Patient Pipeline & Operations
• Own and manage the full patient pipeline in HubSpot — from orders and prescriptions through sample tracking and report delivery.
• Make sure every patient moves smoothly through the process and proactively follow up when something is delayed or requires attention.
• Maintain accurate data, manage tickets and workflows, and ensure operational details don’t fall through the cracks.
• Identify operational gaps and build or improve processes and automations to reduce manual work and support scale.
Patient & Provider Support
• Serve as a primary point of contact for patients and healthcare providers across calls, emails, and webforms.
• Guide patients through the testing process, answer questions, and make sure they know what to expect at each stage.
• Support providers throughout the ordering and prescribing process.
• Build trusted relationships with patients and providers and follow up proactively when needed.
Order Processing & Coordination
• Process prescriptions and orders and ensure all required information, insurance details, and consent documentation are complete.
• Coordinate blood draws, sample collection, shipping, and other logistics.
• Ensure reports are delivered securely and that patient information is handled in accordance with HIPAA requirements.
• Work across internal and external partners to resolve issues and keep cases moving.
Clinical Trials & Cross-Functional Projects
• Support clinical trial operations as they expand, including site coordination, documentation, and patient enrollment activities.
• Support grant-related and other operational projects.
• Work closely with different functions across the company and take on new areas of responsibility as the organization grows.
What You Bring
• 2+ years of experience in patient operations, clinical operations, customer operations, or another hands-on operational role in healthcare, biotech, or diagnostics.
• Experience working directly with patients, healthcare providers, or other healthcare stakeholders.
• Hands-on CRM experience (HubSpot preferred), including pipeline management, tickets, and workflows.
• Highly organized and detail-oriented, with the ability to manage multiple patients, processes, and priorities simultaneously.
• Strong English communication skills, both written and verbal.
• A proactive, ownership-oriented approach — you notice when something isn’t working and take initiative to move it forward.
• Comfortable working in a startup environment where processes are evolving and you’ll help build them rather than simply follow them.
• Personable and empathetic, with strong interpersonal skills and the ability to build trusted, collaborative relationships - a must!
A Plus
• Experience in clinical research or clinical trial operations.
• Clinical background (RN, paramedic, CRC, or similar).
• Experience with US healthcare billing, insurance, or reimbursement.
• Experience building CRM workflows, automations, or scalable operational processes.
